Who is responsible
Rotary Club of Quatre Bornes Sodnac operates this website and is responsible for the club’s use of your personal information. For privacy questions or requests, send an email to our club email address using the contact link below. This policy covers this club website; Rotary International and social platforms have their own policies.
Information we collect
Sign-in currently uses Google. When you sign in with Google, we receive an account identifier and the profile information your provider makes available, such as your name, email address and profile image. We store account and provider identifiers, authentication information, club access permissions, event registrations and registration dates. If you create club content, we also record its author and creation/update times. When you contact us, we receive the information you choose to include. Hosting and security services may process IP addresses, request details and technical logs.
How we use information
We use account information to authenticate you, manage access and protect the service. We use registrations to manage attendance and capacity, and contact information to respond to requests and organise club activities. We use technical information to deliver the website, investigate faults and prevent abuse. Where applicable law requires a legal basis, we rely on providing the services you request, legitimate interests in operating a secure club website, legal obligations, and consent where required. You can withdraw consent where processing depends on it.
Who can access information
Authorised club administrators can manage accounts and access roles. Administrators and editors can view event registrations. Registration lists are not publicly displayed. Our hosting, authentication and security infrastructure providers process information to deliver the service; Google and Meta process information under their own terms when you use their services. We may disclose information where required by law or necessary to protect rights and security. We do not sell personal information.
Cookies, browser storage and social links
The sign-in system uses cookies and browser storage for sessions, authentication and security. Blocking these may prevent sign-in or registration. The current application does not include advertising pixels or audience analytics. Social sharing links open the selected platform; sharing requires your action and is governed by that platform’s policy. Signing in does not automatically publish content to your social account.
Storage, retention and security
Information is held in the club’s hosted database and associated service infrastructure. Providers may process information outside your country. Where applicable, international processing is subject to the safeguards required by law. We retain information for as long as needed to operate accounts and events, respond to requests, meet legal obligations and protect the service. Retention depends on the purpose and circumstances; contact us for information about your records. Access controls and restricted administrative permissions protect information, but no online service can guarantee absolute security.
Your choices and rights
You may ask to access, correct or delete your information, and, where applicable, restrict or object to processing or request a portable copy. You may also complain to the data protection authority competent for your location. We may need proportionate information to verify a request. Visit User Data Deletion for instructions. Removing a social connection or signing out does not by itself delete your club records.
Children and updates
The account service is not intended for children to use independently. A parent or guardian should contact the club about a child’s information or participation. We may update this policy as the website or our practices change; the date above identifies the latest version.
